PowerPlay Development – Terms & Conditions

By booking a place with PowerPlay Development, you agree to the following Terms & Conditions.

1. Bookings & Payments

A child’s place is only confirmed once full payment has been received through our booking system.

As places are limited, bookings are allocated on a first come, first served basis.

If a programme does not meet the minimum number of participants required to run, PowerPlay Development reserves the right to cancel the programme. In this event, children will either be moved to an alternative session or all payments received will be refunded in full.

2. Attendance, Missed Sessions, Monthly Payment Plans & Failed Payments

When booking a term and choosing to pay by monthly instalments, you are committing to the full term. Monthly payments are provided solely as a convenient way to spread the cost of your child’s place and do not constitute a rolling monthly membership.

If you wish to cancel your child’s place, a minimum of one calendar month’s written notice is required. Notice must be submitted by email to hello@powerplaydevelopment.co.uk.

Your child may continue to attend sessions during the notice period, and monthly payments will remain due until the notice period has ended.

If a scheduled payment is missed, declined or otherwise unsuccessful, PowerPlay Development reserves the right to suspend your child’s place until the outstanding balance has been paid. We will always endeavour to contact you first to resolve any payment issues before taking further action.

We are unable to offer refunds, credits or partial refunds for sessions missed due to illness, holidays, personal commitments or any other circumstances outside of our control.

Where possible, and entirely at the discretion of PowerPlay Development, we may offer a catch-up session; however, this cannot be guaranteed and does not form part of your booking agreement.


3. Weather, Venue Changes & Cancellations

Sessions will continue in most weather conditions where it is safe to do so.

In the event of severe weather or unsafe conditions (including lightning, high winds, extreme heat or a waterlogged pitch), sessions may be moved to an indoor venue, rescheduled or cancelled.

If a session cannot take place and no suitable alternative can be provided, a replacement session or refund for the cancelled session will be offered.

4. Arrival & Collection

Parents or guardians remain responsible for their child until they have been registered with a PowerPlay Development coach at the start of the session.

Children must be collected promptly at the end of each session.

Unless previously agreed, coaches are unable to supervise children outside of session times.

5. Medical Information

Parents or guardians must provide accurate and up-to-date medical information during registration, including any medical conditions, allergies, injuries or medication their child requires.

It is the responsibility of the parent or guardian to update this information should anything change.

Any medication required during a session (such as an inhaler or EpiPen) must be brought to every session and made known to the coaching team.

6. Illness

To help protect all participants, children should not attend sessions if they have experienced sickness, diarrhoea or any contagious illness within the previous 48 hours.

7. Clothing & Equipment

Players should arrive wearing suitable sports clothing, shin pads and appropriate footwear for the playing surface.

Jewellery must be removed before taking part in sessions.

Long hair should be tied back where appropriate.

Players should bring a clearly labelled water bottle to every session.

8. Behaviour & Conduct Policy

At PowerPlay Development, we are committed to creating a safe, positive and respectful environment where every player can enjoy sport, develop their skills and feel supported.

All players are expected to:

  • Respect coaches, staff and other players
  • Follow reasonable instructions from coaches
  • Use appropriate language and behaviour
  • Help create a positive environment for everyone

Unacceptable Behaviour

PowerPlay Development does not accept behaviour that negatively impacts the safety, wellbeing or enjoyment of others.

This includes, but is not limited to:

  • Bullying, intimidation or deliberately targeting another player
  • Physical aggression, fighting or unsafe behaviour
  • Threatening, abusive or disrespectful behaviour towards players, coaches or staff
  • Offensive, inappropriate or bad language
  • Discriminatory, racist, homophobic or derogatory comments or behaviour
  • Persistent disruption or refusal to follow coach instructions
  • Any behaviour that compromises the safety or experience of others

Warnings & Removal From The Programme

For minor concerns, coaches may provide guidance, reminders or warnings to support improvement.

However, multiple warnings will not be given for serious behaviour. Bullying, physical aggression, threatening behaviour, discriminatory language or behaviour, abusive conduct, or use of offensive language may result in immediate removal from a session or termination from the programme.

Where a player is removed from the programme, parents/guardians will be informed of the decision and the reason for the action taken.

Withdrawal, Notice Periods & Refunds

If PowerPlay Development determines that a player must leave the programme due to unacceptable behaviour, the player will be withdrawn from the programme from the date the decision is communicated.

The standard four-week (one month) notice period will apply in line with our booking and cancellation terms.

Any outstanding payments during the notice period remain payable. No refund will be provided for missed sessions, unused sessions or the remainder of a term where a player has been withdrawn due to their behaviour, subject to any legal rights that cannot be excluded.

PowerPlay Development may decide that a player should not attend sessions during the notice period if their continued attendance could affect the safety or enjoyment of other players or staff.

Our priority is to ensure every child attending PowerPlay Development has a safe, enjoyable and positive experience.


9. Parents & Spectators

Parents and guardians are welcome to watch sessions where appropriate.

We kindly ask that all spectators encourage every player positively and refrain from coaching or instructing children during sessions, allowing players to learn, make decisions and develop independently.

Any behaviour towards coaches, players, officials or other spectators that is abusive, threatening or inappropriate will not be tolerated.

10. Photography & Video

Photographs and videos may occasionally be taken during sessions for coaching, promotional and marketing purposes.

Images and videos will only be used where parental consent has been provided during registration.

Consent can be updated at any time by amending your booking profile or contacting us directly.

11. Emergency Medical Treatment

In the event of an accident or medical emergency where a parent or emergency contact cannot be reached, you authorise PowerPlay Development to seek appropriate medical treatment for your child if considered necessary.

12. Health & Safety & Liability

Whilst every reasonable care is taken to provide a safe coaching environment, participation in sport carries an inherent risk of injury.

PowerPlay Development, its coaches and staff cannot accept responsibility for injury, loss or damage except where caused by negligence or where liability cannot legally be excluded under English law.

13. Lost Property

PowerPlay Development cannot accept responsibility for lost, stolen or damaged personal belongings. Please ensure all items are clearly labelled.

14. Communication

Parents are responsible for ensuring that their contact details remain accurate and up to date.

Important information regarding sessions, venue changes and cancellations will be communicated via Class4Kids and, where appropriate, by email or WhatsApp.

15. Data Protection

All personal information provided during registration will be stored securely and processed in accordance with applicable UK data protection legislation.

Information will only be used for the safe delivery and administration of PowerPlay Development programmes.

16. Force Majeure

PowerPlay Development shall not be held responsible for cancellations or disruptions caused by circumstances beyond our reasonable control, including but not limited to severe weather, government restrictions, venue closures or other unforeseen events. Where possible, an alternative session or suitable solution will be offered.

17. Session Changes & Group Allocations

PowerPlay Development reserves the right to make reasonable changes to session times, venues, coaches, group allocations or programme content where necessary to ensure the safe, effective and high-quality delivery of our coaching programmes.

From time to time, players may be moved to a different group where our coaches believe this will better support their age, ability, confidence or stage of development. Our aim is always to place players in the environment where they will be appropriately supported, challenged and able to maximise their progress.

Where possible, parents will be given reasonable notice of any significant changes to session times, venues or coaches.

In the event that a session needs to be cancelled due to circumstances beyond our control, we will endeavour to provide as much notice as possible and, where appropriate, offer a suitable alternative session or refund in accordance with our refund policy.


18. Our Coaching Philosophy

At PowerPlay Development, every player matters. Our aim is to provide a positive, inclusive and player-centred environment where children are encouraged to develop at their own pace.

We ask players, parents and coaches to work together to promote respect, effort, resilience, teamwork and enjoyment at every session.


19. Changes to These Terms & Conditions

PowerPlay Development reserves the right to amend these Terms & Conditions where necessary. Any significant changes will be communicated to parents through Class4Kids or by email.
